Registration and Documantation

Registration is the first step in the relationship between the asylum seeker and the UNHCR. If you cannot return to your home country because you are afraid of yourself, and you want to seek international protection from UNHCR, you must first register. When registering, UNHCR records information about you and your family, as well as why you left your country.

Upon receiving this information, UNHCR staff will contact you for the following steps:

Full name
Citizenship
Family living in Indonesia
Your current address in Indonesia
Phone number

Your visa status in Indonesia (passport / passport photo, visa page photos).

Please note that UNHCR can only register you if your Indonesian visa has expired and you cannot extend it.

I contacted UNHCR to register, what do I expect?⬇

UNHCR will contact you by telephone for a short interview. You will be asked introductory questions before the actual registration. UNHCR will let you know the date of your registration interview and what you need to do to prepare. The registration interview will take place within a week of being called for the first time, depending on the interpreters available when needed.

How do I update my contact details (address and / or phone number)?

If you have a new phone number or new address, you can ask UNHCR to update your registry by filling out our form: “Contact details and address renewal” – available at this link https://enketo.unhcr.org/KaOG4PRw or email insja @ unhcr.org with your new details. UNHCR will ensure that your contact details are updated in our system.

How can I add a new family member (born or recently arrived in Indonesia) to my case?

If you would like to register a family member with UNHCR Indonesia, please email the following information to [email protected]; or click on the following link: unh.cr/62c2a30b5.

Upon receiving this information, UNHCR staff will contact you for the next steps.

Newborns:

Copy of hospital birth certificate

How can I combine or classify my case?

If you would like to unite your case for marriage or family reunification, or separate your case for divorce, please send the following information and supporting documents to UNHCR by email to [email protected]:

Your case number
Marriage / divorce certificate, etc.
Your full address and contact information.

UNHCR staff will contact you for a brief confirmation interview.

How can I review my personal UNHCR data?

If you think UNHCR does not have your correct personal information, please contact UNHCR by email ️ [email protected] Share your exact information and copies of supporting documents such as:

Your case number
National identity card / passport / birth certificate / marriage certificate / formal education document
Your full address and contact information.

UNHCR staff will contact you for a brief confirmation interview. Please note that UNHCR is not in a position to change your identity. UNHCR can only update records based on identity documents. Remember that your application is not always accepted

What happens if my UNHCR card / certificate is lost or stolen? How can I get a new one?

If your card / certificate has expired, please share your case number with your card / certificate and mobile phone number on this form or email [email protected] UNHCR staff will contact you for a brief confirmation interview.

If you have lost your card, please report it immediately to your nearest police station. You will receive a letter from the police; Please share with us a photocopy (send it to [email protected]), your UNHCR ID and current telephone number. UNHCR will contact you in the next steps.

I got a simple copy of my card. When will I get my card? ⬇

Due to COVID-19 status, UNHCR will not be able to provide you with a physical card in person. UNHCR and partners plan to hold card distribution in the fourth quarter of 2021 (between September and December). If possible, we can also facilitate the distribution of the card during the immunization exercise for refugees who have registered to receive their first or second doses. You will be notified of the time and place of obtaining your new UNHCR ID. At present, the original document will be kept in the office until the situation allows us to distribute it safely and orderly. Refugees and asylum seekers may continue to use UNHCR identification and later transcripts to access public services and protection.

What do I need to bring to get my card?

You (and your family members) can only get a new card if you are able to return the expired card. So, please put your card in front of you to physically replace the new card later.

What happens if I lose my old card, can I still get my new card?

You will need a police claim statement if you are unable to return the original UNHCR card due to a loss. We will also do biometric verification before we give you a physical card.

How do I get my card?

The new card can be taken by at least one family member in the same case number. Family members with different numbers need to be present in person to pick up their cards. Card collection cannot be represented except for medical reasons.

I got my first dose of vaccine and only got my card, when will the rest of my family get their cards?

It is likely that we will again facilitate card distribution during the second dose. Therefore, please be sure to bring your family member’s old card with the same case number or police report if he or she loses his or her UNHCR ID card.
