Senior Digital Fundraising Associate (Renewable Contract, LICA 7)

Office of the United Nations High Commissioner for Refugees (UNHCR) is recruiting a Senior Digital Fundraising Associate, carrying an external title of “Senior Digital Fundraising Manager”, to act as key pivot to support various fundraising acquisition channels in UNHCR Hong Kong and Macao.

Senior Digital Fundraising Associate works under the direct supervision of the Associate PSP Officer, Head of Private Sector P (Hong Kong and Macao). The incumbent will be responsible for generating ideas and tools addressed at supporting and developing the UNHCR’s brand and awareness of refugee issues, in order to facilitate the growth in fundraising, the cultivation of new and existing donors, and the development of digital fundraising campaigns. S/he will manage all web and social networks’ fundraising features, work with internal resources and/or external suppliers to generate digital content and engagement. S/he will also be responsible for the development of the local digital strategic direction and will carry out the implementation of the digital marketing and fundraising campaigns initiatives, making sure that all issues regarding online and offline communications of this area are totally integrated in the global strategic planning of UNHCR.

Requirements and experience: 

  • Tertiary-qualified, preferably with a University degree in marketing, e-commerce, mathematics, computer science, or communications;
  • Minimum of 11 years’ experience in digital marketing or digital fundraising with at least four years in management role;
  • Strong experience with running digital campaigns for the purposes of member acquisition;
  • Strong knowledge of web analytics platforms such as Google Analytics;
  • Vast knowledge of digital measurement metrics, and experience with producing online performance reports for senior stakeholders;
  • Experienced in working with content management systems, and e-mail marketing tools;
  • Ability to work in a fast paced environment;
  • Strong analytical skills;
  • Strong written and verbal skills;
  • Held/hold a Google Analytics Individual Qualification Certification;
  • Professional experience within the not-for-profit sector, UN agencies or international institutions is an asset.

Responsibilities: 

  • Design, execute and oversee of a long term competent and innovating strategy, as well as an annual action plan for all digital fundraising activities, ensuring that they are aligned with UNHCR objectives and programs.
  • Define and execute those strategies addressed to increase engagement to the UNHCR social networks.
  • Design, coordinate and oversee budgets for the use of digital and new media tools.
  • Build up strong relationship in the social networks to support digital fundraising and engagement activities for both donors and prospects.
  • Assist in managing the relationship with external suppliers, providing digital campaign briefing to the external suppliers and providing feedback on digital media plans, working with all required suppliers to get advertising tracking in place, ensuring campaigns are executed and managed to target.
  • Assist in managing the web content as well as the implementation of digital marketing and fundraising campaign initiatives.
  • Optimize the website to increase traffic and online donation.
  • Ensure UNHCR maximizes the use of other digital channels, such as SMS, podcasts, blogs and DRTV and that these tools are integrated where appropriate.
  • Assist in managing and review all lead generation programmes and search engine marketing with channels integration to maximize ROI.
  • Assist in formulating strategies and plan to digitize donor communications and donor engagement work.
  • Provide leadership on digital communications for UNHCR.
  • Work closely with UNHCR regional and headquarter (HQ) teams, the external communications suppliers to ensure the total integration of digital fundraising is within the organization’s planning; ensure a fluent and continuous external communications through social networks and to maximize the value of donors and prospects.
  • Assist in digital projects organized by HQ and provide technical advice.
  • Provide guidance, coordination and support to the digital media coverages for UNHCR when necessary.
  • Support markets in Asia with specific digital projects in collaboration with Regional Digital Officer based in RO Bangkok. The projects have strong connection with UNHCR Hong Kong’s digital activities and at start have clear scope and targets defined. Maximum time spend on the regional projects up to 20% of fte.
  • Maintain effective relationships with all suppliers responsible for digital fundraising to ensure that all new acquisition targets are met or exceeded.
  • Alongside the Assistant PSP Officer (Hong Kong – Acquisition), lead the procurement process for all supplier relationships linked to new donor acquisition through digital channels.
  • Maintain accurate reporting and analysis in order to facilitate effective management of the digital acquisition programme.
  • Work with appropriate members of the fundraising team to effectively track supporter attrition and support the acquisition team in testing strategies through digital.
  • Present all digital new donor acquisition reports to the Assistant PSP Officer (Hong Kong – Acquisition) as well as the regional and global teams.
  • Work with the PSP team to prepare annual budgets for the digital programme.
  • Oversee the digital fundraising channel budgets and expenditure, and ensure budget holders are managing programme budgets, effectively.
  • Regularly monitor expenditure to ensure it is kept within budget.
  • Handle reporting related to digital fundraising, including quarterly reports, mid-year and year end reports.
  • Provide functional guidance to the Senior Digital Fundraising Assistant and the Digital Fundraising Assistant with regular review meetings to ensure all digital acquisition work is progressing to plan and on target.
  • Produce yearly objectives and targets.
  • Regularly review staff against objectives and provide feedback, support and corrective action as required.
  • Create development plans to ensure staff can perform their duties to the best of their abilities.
  • Serve on cross functional project teams as required ensuring that digital fundraising and marketing perspective is effectively represented.
  • Represent the team in coordinating with external parties / stakeholders, especially in close relationship with other digital teams of PSP offices.
  • Any other appropriate tasks or projects as delegated by the Assistant PSP Officer (Hong Kong – Acquisition)

Individual Giving Donor Care Associate (Renewable Contract, LICA 6)

Requirements and experience: 

  • Completion of the Secondary Education with post-secondary certificate/training in marketing, communication, social science or a related field
  • Minimum 6 years of previous job experience relevant to the function. At least 3 years experience providing functional guidance to donor care or customer service teams
  • Proven experience in a fundraising or sales environment working on donor/customer care and data processing, gained in Hong Kong market
  • Track record of driving new initiatives that deliver improved customer service and experience
  • Proven experience of managing donor or customer records within a customer relationship database

Responsibilities: 

  • Under the supervision of the Assistant PSP Officer (Donor Care), design, implement and develop the Individual Giving Program of PSP HK, and provide overall functional guidance to the donor care team, ensuring that they implement the donor care programme effectively and efficiently and with a donor focused approach
  • Optimise the opportunities to develop the annual value of donors by
    – Continue to improve retention rates, particularly during the first year
    – Prepare tactics and keep track of different types of telemarketing campaigns with targeted segment of donors
    – Introduce testing elements and targeted donor segment in special appeal and find out best practice to ensure good response
    – Design and use of digital marketing to make fundraising appeal to targeted donors
    – Explore and develop new type of donor fundraising program e.g. peer-to-peer fundraising
  • Develop and implement tactics to increase donor loyalty and donor satisfaction
    – Design and implement Individual Giving donor journey and evaluate its effectiveness
    – Ensure that the donor care team respond to donor enquiries timely, accurately and sincerely to ensure a high quality of donor service standard can be met
    – Monitor donor attrition and debit rates and devise plans in order to improve these key performance indicators and address any issues
    – Produce regular reports and analysis to enhance the donor retention and understand donor behaviour

  • Assist in implementing comprehensive data strategies to deliver a donor-centric approach, including:
    – Data integrity to ensure the quality and maintenance of donor data
    – Assist in data integration (offline and online) and with different platforms like website CMS, email broadcast system, payment gateway, data intelligence tool etc to ensure a holistic overview of donors
    – Digitalize donor care communication by working with digital and database team to build automated process among different platforms on donor communication
  • Ensure seamless donor care operation including form processing, donation collection by
    – Liaise with bank and payment platforms to ensure timely and accurate payment collections.
    – Review the collection service and charges with working partners on a regular basis.
    – Liaise, monitor and review outsourced vendor services performance such as data entry, lettershopping services etc.
  • Develop standards to handle donations, explore data segementation and mining for existing donor for further analysing donation behaviour

Senior Administrative Associate (Private Sector Partnerships) (GL-7)

Office of the United Nations High Commissioner for Refugees (UNHCR) is recruiting a Senior Administrative Associate (PSP) to act as key pivot to support all PSP staff working in UNHCR Hong Kong and Macao.

Senior Administrative Associate (PSP) works under the direct supervision of the Associate PSP Officer, Head of PSP (Hong Kong and Macao). The incumbent will assist and closely support the Associate PSP Officer’s management of the country PSP program by providing overall support for all the PSP related administration, finance payments and reports, and human resources management for all PSP staff working in UNHCR Hong Kong. S/he also provides procurement supports for PSP Hong Kong. For this, s/he works closely with some relevant internal contacts related for his/her finance payments (including using MSRP system) and procurement duties, and various external contacts. S/he also collaborates with UNOPS regional office in Bangkok in regards to UNOPS’s contracts. Moreover, the position will monitor the domestic legislation changes directly or indirectly related to UNHCR’s PSP operation, and report to the supervisor for update and any necessary actions, if required.

Requirements and experience:

 Chinese national/Hong Kong Permanent Resident, preferably with a University degree in Business Administration, Finance, Human Resources or a related field.

  • Minimum 11 years of relevant working experience, preferably with iNGOs or UN Agencies.
  • Familiarity with UN in general and a good knowledge of UNHCR administrative and financial rules and procedures both Headquarters and in the Field would be an asset.
  • Strong analytical and project management skills.
  • Experience in procurement process and budget control.
  • Excellent computer skills and practical experience in working with MS Office Applications.
  • Excellent written and spoken Chinese and English.
  • High level of confidentiality, detail-minded, great communications and interpersonal skills.

Responsibilities:

  • Supervise a small team to provide full range of office administration support and ensure smooth office operation.
  • Assist the Associate PSP Officer to manage all Human Resources issues for the PSP staff including individual contractors and PSP interns from recruitment through training/induction performance management and staff relations in line with UNHCR’s HR policies and procedures.
  • Maintain liaison with the support sections and divisions at Headquarters, specifically with DHRM, on matter related to the recruitment and personnel administration support, medical and other issues of staff welfare and safety.
  • Organization of procurement processes including preparation and conduct of Request for Quotations, Invitation to Bid or Request for Proposals, receipt of quotation, bids of proposals, their evaluation, negotiation of certain conditions of contracts in full compliance with United Nations Development Programme rules and regulations.
  • Assists in preparation and coordination of Request for Quotations, Invitation to Bid and Request for Proposals, and other solicitation documentation, including reviewing specifications and terms of reference.
  • Forecast PSP support budget based on track records and reflect it in annual plan.
  • Assist the PSP team and its Head to develop the Annual Budget Plan and to implement the budget income/expenditure record and bank reconciliation in system according to the Plan. The incumbent also monitors budget implementation according to an agreed annual budget and plan.
  • Assist the Associate PSP Officer and PSP’s regional partners to keep track of significant variances between the approved budget and actual results and implementation rates, through clear reporting, whilst ensuring timely budget expenditure revisions and income forecasts are made and submitted to Headquarters.
  • Perform any other related duties that may be required.

Individual Graphic Design Contractor

Office of the United Nations High Commissioner for Refugees (UNHCR) is recruiting an Individual Graphic Design Contractor to provide graphic design service for UNHCR in Hong Kong.

This position reports to the Assistant PSP Officer – Donor Care and works closely with UNHCR Sub-office Hong Kong. This post aims to provide graphic service on irregular basis and conduct the professional design within reasonable time upon request.

Requirements and experience:

  • Completed secondary level schooling or vocational training equivalent to secondary school level;
  • Proficiency in written and spoken Chinese (Cantonese and Mandarin) and English;
  • One to three years of proven experience in graphic design work;
  • Knowledge of Web Design software is an advantage;
  • Knowledge of visual effects production and 2D/3D animation also desirable – such as Flash, Photoshop, etc.
  • Able to response within a reasonable time and able to meet tight schedule when handling emergency appeal materials;
  • Experience of working with NGOs are preferable;
  • Be flexible to the work location when required.

Responsibilities:

  • Work closely with UNHCR and support the implementation of the donor communication works and promotional activities of UNHCR’s Private Sector Fundraising Unit by providing design service to the Unit;
  • Provide original ideas for all assignments;
  • Develop creative design for printed materials including but not limited to newsletter, advertisement, pitch card, thank you card, backdrop, banners and special appeal materials;
  • Develop creative design for online materials including but not limited to HTML5 animation banners, display advertisement, landing pages, emails, illustrations and macros;
  • Amend creative design according to the requirement of UNHCR;
  • Provide layout according to the agreed design;
  • Provide output file of the design for production and the file format should be ready for printouts/uploading;
  • Provide other professional designs services requested by UNHCR.
